Tour Operator, Sandakan — 6-Year Document Backlog

CHALLENGE

A seven-person tour operator had accumulated six years of supplier contracts, insurance documents, and permit renewals across five large box-files. Staff would spend 20–30 minutes searching for any specific document, and the business had failed two internal audits because supporting documents could not be located in time.

WHAT WAS DONE

Warisan Studio received three box-files in the first batch (scoped separately to keep costs predictable). Documents were scanned and indexed by document type, counterparty name, and date. A condition report identified 34 thermal receipts that had faded beyond reliable reading. The client chose a second batch four weeks later.

OUTCOME

Search time for any document reduced to under one minute. The client passed their next audit without issue. The condition report resulted in them locating physical carbon-copy duplicates for 18 of the 34 faded items from a separate file they had not included in the batch.

Eco-Lodge, Kinabatangan — Handling Off-Hours Enquiries in Three Languages

CHALLENGE

An eight-room eco-lodge on the Kinabatangan River was receiving between 15 and 25 enquiries per week, many arriving after 9pm and in Mandarin from guests booking from Peninsular Malaysia. Two staff members were spending over three hours daily on initial enquiries, most of which were asking the same five or six questions.

WHAT WAS DONE

A booking desk was set up using the lodge's own availability information, pricing tiers, transport options, and group size limits. The seasonal calendar included Kaamatan, school holidays, and Chinese New Year, when demand and pricing both changed. The desk was configured to answer in Malay, English, and Mandarin.

OUTCOME

Staff time spent on initial enquiries dropped by approximately 70%. The desk handled 18 Mandarin-language enquiries in its first month without errors. No confirmation or deposit was processed without staff review, which the lodge's owner had been firm about from the start.

Craft Workshop, Sandakan — Preparing a Team of Nine to Use AI Tools Safely

CHALLENGE

A craft and batik workshop with nine staff had started using two AI tools informally — one for drafting customer correspondence, one for translating product descriptions. The owner became aware that staff were entering customer addresses and order details into these tools without understanding the privacy implications. She wanted this clarified before it became a problem.

WHAT WAS DONE

A three-hour session was run using the workshop's own correspondence templates and the tools already in use. The data privacy segment covered which customer fields were safe to include in AI tools and which were not under PDPA 2010. The "are you a person?" scenario was adapted to the workshop's customer profile — predominantly domestic tourists and school groups.

OUTCOME

Staff stopped entering addresses and full contact details into external tools within the week. The follow-up email channel was used four times in the month after the session, mainly to ask about specific situations that had come up with customers. The checklist has remained in place at the front counter.
