How Warisan Studio Came to Be
Warisan Studio opened in Sandakan in 2022, after its founders spent several years watching capable small businesses manage their paperwork and customer enquiries the same way they had for decades — not because the old methods worked well, but because nothing better had been put in front of them in terms they could act on.
The name carries deliberate weight. Warisan means heritage or inheritance in Malay — the accumulated knowledge, the files, the records, the way things have been done. The work of the studio is to bring that inheritance into tools that are easier to search, easier to share, and easier to hand on to whoever comes next.
We work with three services, each covering a defined problem: digitising and indexing paper records that businesses are legally required to keep, providing a multilingual booking desk that handles enquiries at hours when staff are unavailable, and running half-day sessions for teams who want to understand how to use these tools safely with customer information.
Our clients are mostly tour operators, guesthouses, and small service businesses in and around Sandakan. They tend to have between three and fifteen staff, more than one language in daily use, and a backlog of paper they would prefer to be able to search. We understand this situation because we have spent time in it.

How We Approach the Work
These are the commitments we bring to every engagement — not a marketing list, but the practical constraints we operate within.
Data Handled Only for Its Purpose
Customer information provided during an engagement is used only for that engagement. We do not retain it after delivery and we do not share it with third parties outside the tools the engagement requires.
Scope Agreed in Writing Before We Start
Every service begins with a written scope note that both parties sign off. This defines what is included, what is not, and what the deliverable looks like. There are no open-ended retainers.
Tools Disclosed Before Use
We tell you which software and AI services we use before we begin, along with their data handling policies. If a tool is not appropriate for your type of information, we will say so and use a different approach or decline the work.
Originals Returned in Order
For the Record Digitisation service, paper documents are returned to you in the sequence and arrangement in which they arrived. We do not reorganise or remove anything without your instruction.
Training Covers What May Go Wrong
Staff Sessions include a section on limits and risks — what these tools do poorly, what information must not be entered, and how to respond when a guest asks whether they are speaking to a person.
One Month of Follow-Up Included
After a Staff Session, a follow-up email channel remains open for one month for questions that come up in daily use. This is included in the session price and requires no separate arrangement.

What Guides Our Decisions
Small businesses in Sabah — particularly those in tourism and hospitality — sit at a difficult position with digital tools. The tools exist, and some are useful. But many were built for larger organisations with dedicated IT teams, legal departments, and staff who speak English as a primary language. The result is that small operators either avoid these tools entirely or use them in ways that create privacy problems they are not aware of.
Warisan Studio works in the gap between "too complicated" and "already sorted." We take the time to understand how a business actually runs, what its peak periods are, what languages its customers use, and what information must not leave the building. Then we build or configure something that fits.
We are not a technology firm trying to sell subscriptions. Each of our three services is priced as a fixed deliverable. You know what you will receive and what it will cost before we start. If the work is not appropriate for your situation, we will tell you that instead of proceeding.
The businesses we work with most successfully are those who want to understand what they are adopting, not simply adopt it. We are patient with questions and direct with answers. If something cannot be done safely with the tools available to us, we say so plainly rather than finding a workaround that creates a different problem.
